2.3 Project role assignment: Clone & Predefine


Kickstart project onboarding, by having the correct users and group assigned to the correct project roles directly after creation. Project & Issue Templates for Jira allows to automatically assign the project creator, specific users and user group to project roles with every created project. To do that admins can either specify a ‘Project role assignment source project’ to clone existing project role assignment from, or predefine a set of new custom project role assignments.

The feature to add users and groups is also available for Project Content & Issue Templates. In this scenario, the designated users and groups will be included in the current project role assignments. Previously assigned users and groups remain unchanged.

  1. Click either on ‘2. Configure template settings and clone/predefine project role assignment, components, versions and issues' in the dialog or on the settings icon in under Actions.

  2. In the template settings modal, click on the tab ‘Project role assignment’

Clone existing project role assignments

After project creation, the app will clone all project role assignments from the specified ‘Project role source project’ to the newly created project.

Edit the project role assignment source project

  1. Click on the ‘edit icon’

  2. Select the project you want to use as ‘Project role assignment source project’

  3. Click on ‘Save’

A refreshable counter will display the amount of groups and users that have assigned project roles inside the source project.

Predefine new project role assignments

  1. Click on Project role assignment’

  2. Specify the project role you want to assign users and groups to.

  3. Specify the users, groups and decide if the project creator should be assigned the project role.

  4. Click ‘Add’ to add a new predefined assignment to a specified project role the project template settings.

    • The predefined project role assignment will now appear in the template settings.

    • New projects created based on this template will automatically assign the specified user, groups and project creator to the specified project role.

    • The assignments for the project role can be ‘Edited’ or ‘Deleted’ using the action buttons.

View or hide project role assignments to non-admins

Displaying user names to non-admin Jira users through project role assignments could raise privacy concerns. For this reason, project templates won't exhibit the project role assignment tab to non-admin Jira users by default.

You can adjust this behavior using the ‘Show project role assignment (view-only)’ toggle. This toggle allows you to control whether non-admin Jira users can access project role assignments in a read-only mode. Read more about customizing what information is displayed to non-admin Jira users.
